Whispering Pines Booking

Who to Call
Whispering Pines can be reserved by calling Cindy Sciolino at the USG office at Buffalo State.

CAMP BOOKING: 716-878-6701 - Monday to Friday, 8:30AM to 4PM.

Please do not contact the Camp directly about booking - you will only be referred to the USG Office. You can contact the Camp Director with questions about the facilities.

NOTE: Visitors must bring their own blankets, pillows, towels, and toiletries. In addition you must bring all consumables you need for your group's meals. Cooking utensils and all plates, cups, and silverware are provided in the lodges. You are required to clean the utensils and leave them stored as you found them.

Cost: $325/night
•Laug Lodge: Sleeping Capacity: 38
Cost: $225/night

Check in is at 11:00 AM. Check out is at 3:00 PM.
 
Rental Procedure
• All Buffalo State College, activity fee-paying, recognized, student organizations are allowed to use the camp at no charge. All other organizations, BSC staff, and off-campus groups must pay for usage. In addition, groups not affiliated with USG must provided a certificate of liability insurance in order to reserve the camp.

• A $200 deposit is required for all groups. USG funded organizations must submit a Purchase Order which will be voided after their camp visit. However, if damages occur, money will be deducted from their budget to cover the cost of those damages.

• All deposits are fully refunded after a thorough check of the facilities. Within two weeks a refund check will be mailed. If facilities are damaged, dirty, or if items have been stolen, the deposit may be retained.

• In the event of a cancellation, deposit refund policy is as follows:
Cancellation prior to two weeks in advance = 100% refund
Any cancellation less than two weeks in advance = 0% refund

• Minimum occupancy for any rental group is 45 persons for the Alaimo Lodge and 20 persons for the Laug Lodge.

• No pets allowed.

NOTE: A representative of each group using the camp MUST sign-off on the list of camp policies (see below). It is the responsibility of that representative to inform all members of the group of these rules.


Policies and Rules for Use of Whispering Pines

These policies are designed to ensure a safe visit to the camp, the conservation of the natural features of the camp, and the preservation of the camp facilities. If you are unclear on any of the policies please contact the Camp Director for a clarification before you sign and return your contract.
 
CAMP POLICIES
1. Waiver, alcohol, and recycling policies must be signed and returned to USG one week prior to your trip.
2. Alcohol and illegal drugs are not permitted on the premises.
3. Groups which are not affiliated with the United Students Government must provide a certificate of liability insurance in order to reserve the camp. Specific limits and other details are provided at the time of application.
4. Whispering Pines Camp is posted land. No firearms, weapons, fireworks, snowmobiles, or motorcycles are allowed on camp property. (Fishing is permitted).
5. Your organization is responsible for cleaning the lodge(s) and keeping the grounds litter free.
6. Your organization is responsible for returning the camp to its original state.
7. Smoking is prohibited in the camp lodges.
8. The Camp Director may contact your organization's representative regarding any special arrangements and other pertinent details of your trip.
9. The Camp Director reserves the right to take any disciplinary action they deem as necessary to ensure the safety of the organization as well as the Camp's property and grounds.
10. Safe outdoor camping and sports are encouraged. Campfires may be built only in designated areas. Swimming in the ponds at Whispering Pines is strictly prohibited.
11. Mattresses must remain in the sleeping quarters. The beds in the bunk rooms are not to be moved. (The cost for repair for any damage to the floors or carpets because of such actions will be charged to your group).
12. All appliances, cooking and serving utensils, trees, plants and animals are the property of Whispering Pines and, therefore, cannot be removed.

Waiver
Any organization, person or persons (user) utilizing the Whispering Pines Camp (Camp) in consideration for the use of said camp agrees as follows:
1. The user shall accept the camp grounds, the facilities thereon and the camp equipment in their existing condition.
2. No representative or statement of warranties, express or implied, have been made on the behalf of the Camp, United Students' Government (USG) or State University College at Buffalo (College) regarding the camp grounds, facilities thereon and the camp equipment.
3. Under no circumstances shall the Camp, Student Government or College be liable for any defect in such property or any limitation in the use of said property.
4. Neither the Camp, USG, nor the College shall incur any liability for any injuries to persons or property losses arising from the use of camp, its facilities and equipment, and user agrees to indemnify and hold harmless said Camp, USG, and College against all claims, damages or causes of action arising out of the camp, its facilities and equipment.
5. The user shall obey and/or cause its members to obey all regulations and rules established by the Camp, a copy of which is hereby receipted.
6. The user shall be responsible for its compliance with all applicable laws, ordinances and regulations of state and local government and agencies including, but not limited to, provisions for health care and disposition of refuse. 

Alcohol
According to the policies set up by USGSG, Inc., the use of alcohol at Camp is strictly prohibited. If this policy is violated, the group(s) involved with have their security deposit revoked and will not be allowed to use the Camp for up to three years from the date of the infraction. Should a group be warned that a violation has occurred and those involved in the violating action persist, a representative of the camp will contact local authorities and the group in its entirety will be asked to leave the property or be removed. The United Students Government and its Service Group reserve the right to take any and all appropriate legal actions against a group that violates the "no alcohol" policy. The person(s) signing the camp use contract shall be held responsible for the group as a whole. This clause must be initialed on your camp use contract to acknowledge that you have read, understand and agree to the Alcohol Policy of Whispering Pines Camp prior to your trip.

Recycling
Cattaraugus County has a mandatory recycling law. Please help us out at Whispering Pines Camp by following these guidelines:
1. Bins with clear plastic bags are provided for your convenience.
2. Divide your recyclables into plastic, glass and metal. Cardboard and paper should be kept separate and left on the porch before you leave.
3. Please rinse out material before placing in bins. Only plastic labeled "#2" is accepted. Metal cans (cans that a magnet will be attracted to) must be rinsed and labels removed. Put aluminum (non-magnetic) in a separate bag. If possible, separate clear glass from colored glass. Labels on glass do not need to be removed.
If these guidelines are followed, we will remove your recyclables to the transfer station. Failure to abide by the County law and Whispering Pines policy could result in withholding a portion of your deposit. Thank you for your cooperation. If you have any questions, please ask the Camp Director.

CHECKOUT TIME IS ALWAYS 3:00 PM AND GROUPS MAY NOT CHECK IN BEFORE 11:00 AM. FAILURE TO FOLLOW THESE TIMES WILL RESULT IN LOSS OF PART OR ALL OF YOUR SECURITY DEPOSIT.
