Important Information for USG Organizations
Mandatory Meetings
- Two Mandatory Organizations Meetings are held each semester. The next is planned for Friday, November 20, at 3PM in Bulger North. Because this is also the USG Corporate Meeting, each funded and recognized organization must be represented by all of their executive board members. Attendance is required to maintain your funded and recognized status. If you cannot attend you must alert the Rules and Regulations Chair before the day of the meeting. Watch this web site and your organization's USG mailbox for notice of future meetings.
- Treasurer's Meetings are set for the beginning of the fall and spring semesters. The fall meeting is to orient new organization treasurers. The spring meeting is when information on applying for funds for the next fiscal year is distrubuted. All groups must submit properly formatted requests within the proscribed time frame in order to be considered for next year's budget. The Fall 2009 Treasurers Meeting was on Tuesday, September 8. If your treasurer missed the meeting he or she must contact the USG Treasure ASAP.
Other Events & Comments
- An end-of-semester event is planned for Sunday, December 16 at 6PM in the Houston Gym. Watch for details.
Web Pages
All funded organizations have a page on the USG web site. See the Organizations page to find yours. You can update or add to the information on that page at any time by e-mailing USG Press Services Director David Meinzer with the new info. If your organization has a separate web site, send us the link so it can be added to your page, and make sure your site has a link to this web site. If you are setting up a new web site, you can have it hosted on the Information Processors Association server (owned by USG). Visit the IPA web site for info.
Responsibilities
As a USG member organization you have certain responsibilities to USG. Most of these are outlined in detail in Article IX of the USG Constitution. All executive board members of USG member organizations should become familiar with everything in this article. There are penalties for noncompliance that can seriously affect the future of your organization.
The duties and responsibilities of organizations are basically:
- Maintain an active membership of registered students and complete records of meetings, activities, and financial dealings.
- Submit an Organization Registration Form at the beginning of the fall semester or whenever there is a change in the executive board of the organization. (Forms are available in the USG Office and Student Life.)
- Submit a copy of the organization constitution to the USG Rules Chair each September - even if there are no changes from the previous year.
- Submit Activity Report Forms for all official activities and events your organization sponsors.
- Attend all mandatory meetings.
Administrative Categories
The organizations of USG are divided into categories to correspond with the four AVPs. In addition your organization is assigned a liaison from the USG Senate. The AVPs and liaisons are your first contact with the USG administration. If you're not sure which AVP your group falls under, contact USG to find out. Contact your AVP through the Executive Officers Page.
Recognition Procedures
Each USG Member Organization periodically comes up for re-recognition. The Rules and Regulations chair will contact your organization when your group is due for the process, and will explain the requirements.
The procedures for having a NEW organization recognized are availble in the USG Office. Pick up a Recognition Application and a booklet explaining the requirements and procedure. The booklet (also available through the link below) includes a sample constitution to use when writing your organization's constitution so that it will pass the Rules and Regulations review.
